Customize Check-In Name Tags

Before You Begin

  • Printer & Labels: Our printers are designed to work with DYMO LabelWriter Shipping Labels (White, 2-5/16" x 4"). Purchase on Amazon

    • Warning: Using non-DYMO labels may void your printer warranty and they are not compatible with the DYMO 550.

  • Data Source: Name tag fields pull information directly from your Profile Fields in People. To add a new data option to a tag, you must first create that Profile Field in People.

  • Image Specs: Logos should be 183 x 122 pixels and in jpeg, png, gif, or bmp format. Images are downscaled to 300x200 resolution for storage.

  • Permissions: Only users with permissions to view specific tags can add those tags to the name tag display.


Step-by-Step Instructions

1. Accessing Name Tag Customization

You can customize tags while creating a new event or editing an existing one.

  1. Navigate to Events, click on your event, and select View Details.

  2. Click Settings on the left-hand menu.

  3. Scroll to the "Check-In" heading.

  4. Check the box for "Print name tag at check in."

  5. Click the "customize" https://www.google.com/search?q=link behind the checkbox to open the editor.

    • Note: Ensure you click Save Changes after making any adjustments.

2. Customizing Fields and Layout

In the customization window, you can select which information appears on the tag.

  1. Select the desired fields for the available slots (see the "Available Field Options" table below for definitions).

  2. Upload a logo (optional) by clicking the arrow below the thumbnail area and selecting Upload Logo.

  3. Optimize your spacing:

    • Use Larger Fields (Left): Use these for information that takes up more space, such as "Parent Mobile Phone" or "Parent Names."

    • Use Smaller Fields (Right): Use these for short data, like "Date" or "4 Digit Code."

    • Note: If text prints very small, it is due to "shrink-to-fit." Once the tag space is full, you will be unable to add more fields.

3. Setting Up Parent Copies (Security Tags)

Printing a parent copy increases security by requiring parents to show a matching tag during pick-up.

  1. Navigate to the Event Settings.

  2. Check the box for "Print Tag for Parent."

    • Parent Name Tag: Prints if only one child is checked in and "Check-In By Family" is not selected.

    • Family Name Tag: Prints if "Check-In By Family" is selected.

4. Configuring Tag-Specific Printing

You can set different print behaviors for different groups (e.g., Infants get a bag tag, but Volunteers do not).

  1. Navigate to the Event Settings page.

  2. Ensure the Eligibility is set to "Specific Tags" under the "Check In" heading, and select your desired tags (e.g., Infants, Children, Volunteers).

  3. Click "Show More Print Options" beneath the eligibility settings.

  4. Use the dropdowns to assign settings to specific eligible tags.

    • Example:

      • Print Name Tag at Check In: Select Infants, Children, Volunteers.

      • Print Copy for Parent: Select Infants, Children.

      • Print Additional Name Tag: Select Infants (for diaper bags).

Troubleshooting & FAQs

  • Why is the text on my name tag printing so small?

    This is due to the "shrink-to-fit" feature on the label. To fix this, move longer information (like names or notes) to the larger text fields on the left side of the customization screen, and keep short data (like dates or codes) in the smaller fields on the right.

  • Can I print a label for a diaper bag?

    Yes. Use the Tag-Specific Printing instructions above. Under "Show More Print Options," select the specific tag (e.g., Infants) under the dropdown for "Print Additional Name Tag."

  • Why can't I add any more fields to the tag?

    There is a limit to how much information fits on a single label. Once the available space is filled in the customization window, the system will prevent you from adding additional fields to ensure the tag remains readable.
