Creating Attendance Reports

Before You Begin

  • All report generation starts from the Events tab Select Event View Details.
  • Customized reports can be saved and viewed by other users whose role has permissions for "Check in Reports."
  • The default date range for saved reports is the last 28 days unless specified otherwise.

Step-by-Step Instructions

Getting an Overview and Graphical Analysis

1.  Select "Events" Click the event Click "View Details."

2.  Review graphs of attenders over time, first-time attenders, etc.

3.  Optional: Click on a bar graph to see the list of people it consists of. Use "View Multiple Events" and "Filter People" near the top to expand the view.

4.  To View Beyond 1 Year: Change the date at the top left of the Event Overview screen and save the graph/table to a PDF (using Ctrl/Command P).

 

Generating a List of Attenders / Table Report

1.  Select "Events" Click the event Click "View Details."

2.  To See List: On the left, select "Attenders." (Click "Show Not Checked In" to view non-attenders).

3.  To Generate Table Report: On the left, select "Reports."

4.  Filter/Refine: Use the search criteria at the top to fine-tune the report (multiple events, date range, people criteria). 5.  Download: Click "Download as Excel."

 

Saving and Loading Customized Reports

1.  Set the filter criteria in the "Reports" view to what you want to save.

2.  In the upper-right corner, select the down arrow to the right of the "Download as Excel" button and Click "Save Report."

3.  Give the report a name and select the date range (optional) before clicking "Save Report."

4.  To Load: Select the down arrow Click "Load Saved Reports." (Custom reports you created are visible under "Show Custom Reports.")


Troubleshooting & FAQs

  • How do I print a paper roster for checking people in? Use the Attendance Reports view (Step 3, main instructions) and click the person icon to switch to a list view; then print the page.
  • Can I export the list of attenders for an event to email them? Yes. Load the list of people (by clicking the person icon in the upper right of the Table Report), which loads the list into the People interface, allowing you to email, text, or export the people in the results.
  • Why can't I see the "Group by Tag" option? The "Group by Tag" option only appears if the event check-in is eligible for certain tags. When checked, it groups the attenders by tag, and each group prints on its own page.
