Tracking Attendance With Total People Rather Than Individuals

Summary: This guide explains how to simplify attendance tracking for large events, services, or classes by using the Headcount feature in the Events Check-In page, which allows you to quickly check people in anonymously using a total number instead of individual names.

Before You Begin

  • This method is ideal if you are not interested in recording individual names for attendance.
  • The number you enter for the headcount includes any individuals already checked in by name.

Step-by-Step Instructions

1.  Load the Check-In page for the event you're interested in.

2.  Click the gear icon in the top right corner.

3.  Click the "Headcount" button.

4.  Enter the total amount using the plus and minus buttons or by typing directly into the text box. [This number represents the total attendance, including any individuals already checked in by name.]

How the Headcount is Calculated

The number you enter into the Headcount feature indicates the total number of people at the event.

  • Example: If you enter a total number of 50, and 15 people have already been checked in by name, the system will record 35 people checked in anonymously.

Troubleshooting & FAQs

  • Can I use this method if I don't want to see any names on the check-in list? Yes. When creating the event, set the "Eligible People" option to "No One." This is the most useful setup if you only want to keep track of a total headcount rather than specific names.
  • Can I see the names of the people checked in via Headcount later? No. Headcount tracks anonymous attendance; individual names are not recorded for the headcount number.
  • How do I adjust a previously entered headcount? You can access the Headcount button again and update the number as needed.
