Using Multiple Calendars

Summary: This guide explains how to effectively use multiple calendars in Tithely Events to organize event types (e.g., services, meetings, care teams) and streamline scheduling, detailing the processes for adding, renaming, and deleting calendars, and how to restrict calendar visibility based on user roles.


Before You Begin

  • The main calendar cannot be renamed or deleted.
  • Deleting a calendar will delete all events on that calendar; move events to an alternate calendar first if you wish to retain them.
  • You can control which calendars appear publicly on your website via the embed code.

Step-by-Step Instructions

Add a Calendar

1.  Select the "Events" tab from the top left.

2.  Click "Add Event."

3.  Select "Add a New Calendar."

4.  Name your calendar and select a calendar color.

5.  Click "Add."

Rename and Delete a Calendar

1.  Go to "Events". "Calendars" on the left.

2.  To Rename: Click the pencil icon to the right of the calendar (excluding the main calendar), Rename it, and click "Save."

3.  To Delete: Click the "x" icon to the right of the calendar. [Recommendation: Move events to an alternate calendar prior to deleting.]

Adjust Calendar Views (Admins Only)

1.  Navigate to the Events tab.

2.  Click on the colored dots on the left-hand side of the screen.

3.  Toggle on or off the calendar name to control its visibility for you in the Events dashboard. [If a bubble has a checkmark, the calendar is visible.]

Restrict Calendar Access by User Role

Use this to create private calendars (e.g., staff vacation).

1.  From the Dashboard, go to "Account Settings"- "Church Management Roles" - "Roles."

2.  Add a New Role or Edit an existing role.

3.  Click the disclosure triangle to the right of "Events."

4.  Click the disclosure triangle to the right of "Only Access Certain Calendars."

5.  Choose either "Allow Access" or "Restrict Access" for certain calendars.

* Tip: If you restrict access, any new calendars will be viewable by default. If you allow access, any new calendar will by default not be visible.

6.  Click Update Role.


Troubleshooting & FAQs

  • My new calendar is visible on the church website, but I don't want it to be: You must update your website's embed code to include only the calendars that you want to be visible on your website. Toggling visibility off in the Events dashboard only hides it from your view.
  • Can I move an event from one calendar to another? Yes, you can move events to an alternate calendar before deleting the old one to retain the event.
  • What is the benefit of using "Allow Access" over "Restrict Access" for private calendars? If you use "Allow Access," any newly created calendars will be hidden by default, preventing accidental viewing of private data by that role.
