How to Manage Group Permissions

Before You Begin

  • Permissions are managed by editing a user's assigned Role.
  • By default, Group Leaders have automatic edit access to their own groups but do not have global permissions to create new groups or manage events.

Understanding Group Permissions

These are the primary permissions that control access to the Groups feature. They can be assigned to any Role.

  • View/Edit all groups: Grants full access to view, edit, add/remove members, and contact members for all groups.
  • Create Groups: Allows a user to create new groups.
  • Delete Groups: Allows a user to delete existing groups.
  • View My Groups: A basic permission that allows users to see the groups they are members of on their own profile.

 

How to Enable Event Management for Group Leaders

To allow group leaders to link their groups to church events, you must assign them a Role with the correct combination of permissions.

  1. Navigate to the Global Settings icon and select My Organization.
  2. Click on Admin Users and then select the Roles tab.
  3. Select the Role assigned to your Group Leaders to edit its permissions.
  4. Assign the 'Groups Edit' permission. This is the base permission required to link a group to an event.
  5. Assign the 'Event Create' and/or 'Edit Events' permissions to allow leaders to create new events or modify existing ones for their group.
  6. Click Save to update the role.

Troubleshooting & FAQs

  • Our group leaders can't add their group to an event. Why not? To link a group to an event, a user needs a combination of permissions: Group Edits, plus either Event Create (for new events) or Edit Events (for existing events). By default, a group leader can only manage their group's members and basic details.
  • What can a Group Leader do without any special permissions? By default, a person assigned as a Group Leader can automatically view and edit the details and members of their assigned group only. They cannot create new groups, delete any groups, or manage event connections.
  • If I give a leader 'Edit Events' permission, can they edit any church event? Yes. Be aware that permissions like 'Edit Events' are global. If you assign this to a role, users with that role can edit all events, not just those related to their group. We recommend creating a specific "Group Leader" role with carefully considered permissions.
