Issuing An Updated Tax Statement

Summary: This guide explains how to use the Regenerate Tax Statements feature to quickly create an updated batch that reflects recent changes (e.g., refunds, profile merges) made to donations within the original date range, and details the steps to bulk or individually re-issue the corrected statements to donors.

Before You Begin

  • Once a tax statement is generated, it is static and will not automatically update if a donation is edited or refunded.

  • Regeneration Time: The process can take anywhere from 10 to 120 seconds, depending on the size of your church and the date range used.

  • Overwriting: Pressing the Regenerate Button will overwrite the old statement batch with a new, updated statement batch.

2.  Select Giving -> Select Tax Statements from the Giving menu.

3.  Locate the batch of Tax Statements that you need to regenerate from the Previous Batches section on the right side of the page.

Troubleshooting & FAQs

  • Why is regenerating important after a refund? Regeneration ensures the corrected total donation amount (after the refund) is accurately reflected on the final statement provided to the donor for tax purposes.

  • Can I still access the old, incorrect batch? No. The Regenerate Button overwrites the old batch. If you need to keep a record of the original faulty batch, download it before regenerating.

  • What if a donor's email is missing? If emailing, the system will prompt you to add or verify emails. If printing for an individual, simply click the printer icon.
