Before You Begin
Requirement: Only form entries that have been connected to a Person Profile will be processed by this automation. If a form entry is anonymous or not linked to a profile in your database, the system cannot assign a tag to them.
Run Frequency:
Immediately: The automation runs the moment you create the task or update its settings.
Every Hour: The automation runs hourly thereafter to catch new form submissions.
The "Locked" Tag Concept: During setup, you will see an option to "Remove people from this tag that do not match the selected filter."
If Selected: The tag becomes Locked. You cannot manually add/remove people. The system strictly enforces that only people who submitted the specific form response belong in this tag.
If Unselected: You can still manually add people to the tag even if they haven't filled out the form.
Step-by-Step Instructions
Stage 1: Access Automations
Navigate to Account Settings (⚙️) in the top-right corner.
Select Automations from the dropdown menu.
Click the + Add Task button.
Select Auto-Tag Form Respondents from the list.
Stage 2: Configure Form and Logic
Select Form: Choose the specific form you want to monitor.
Filter Results (Optional):
Select Yes if you want to assign tags based on specific answers (e.g., Only tag people who selected "Volunteer for Setup").
Select No if you want to tag everyone who fills out the form, regardless of their answers.
Select Tag: Choose the Tag that these respondents should be added to.

Why does my tag have a lock icon next to it? The tag is locked because you checked the box to "Remove people who do not match." To add someone to a locked tag, they must fill out the form with the correct responses. You cannot manually add them to the tag.
Can I assign respondents to multiple tags from one form? Yes. You can create multiple automation tasks for a single form.
Example: Create one task that looks for "I want to sing" and adds them to the Choir tag. Create a second task that looks for "I want to greet" and adds them to the Greeter tag.
How do I perform a one-time clean-up of a tag? If you want to clean up a list based on form data but allow manual changes later:
Set up the task and check "Remove people who do not match."
Save the task. It will run immediately and clean your list.
Edit the task and uncheck the removal box.
Save again. Your list is now clean, but the tag is unlocked for manual use for the rest of the year.
