Creating a Secondary Mailing Address

Summary: This guide explains how to store secondary address information for individuals like Snowbirds or College Students using two custom Text Profile Fields, and provides a method for tracking when the main address needs to be temporarily switched using a Dropdown Profile Field and the Bulk Update tool.

Before You Begin

  • The original Address profile field drives all output (mailing labels, mapping, etc.). Secondary fields are for reference only.
  • You must create two custom Text fields to capture the secondary address information.
  • Access is required for Account Settings and the People tab.

Step-by-Step Instructions

Create Custom Fields for Storage

1.  Navigate to "Account Settings" on the top right and Select Profile Fields.

2.  Drag two Text fields from the left into the desired section.     

3.  Call the first field "Secondary Street Address."     

4.  Call the second field "Secondary City, State, Zip."

5.  Save Changes to create the fields.

 

Create a Profile Field to Track Dates

1.  Navigate to "Account Settings" "Profile Fields."

2.  Drag a Dropdown profile field into the desired section.

3.  Call the field "College Student Dates" or "Snow Bird Dates."

4.  Enter the options (e.g., "May - August," "January - April"). [This field is used to search who needs an address change.]

5.  Save Changes.

 

Update the Main Address (The Switch)

1.  Log the secondary address and date range on the individual's profile using the new custom fields.

2.  Run a search in the People section using the new Dropdown profile field (e.g., search for people with "May - August" selected).

3.  Use the Bulk Update People tool to: * Move the Secondary Address data into the main Address profile field. * Move the original address data into the Secondary Address profile fields. [This swaps the addresses, ensuring mailing labels populate with the temporary address.]

Troubleshooting & FAQs

  • Why can't I just create one "Secondary Address" field? It is recommended to use two fields (Street Address separate from City, State, Zip) to maintain data structure and compatibility with export/import needs, though they are still for reference only.
  • Why do I have to manually swap the addresses? Tithely does not have a default way to automatically switch between two different addresses. Bulk Update People is the most efficient administrative workaround.
  • Will the mailing labels populate using my custom fields? No. The original Address field drives all output of information (mailing labels, directories, mapping). You must manually swap the data into the main field for it to be used.
