Event Check-In Eligibility

Before You Begin

  • You must have the necessary permissions to access and modify Events.
  • The eligibility list determines who shows up on the Check-In screen.
  • The default eligibility is set to Everyone in your database.

Step-by-Step Instructions

Setting Eligibility for a New Event

1.  Select "Events" Click "Add Event." If you need guidance on creating an event, you can follow this article: How to Create an Event.

2.  Click on "Check-In" located on the left side of the event settings.     

3.  Choose your desired eligibility criteria from the dropdown:

  • Everyone: All Attendees in your database can check in (default).
  • Specific Tags: Only individuals assigned to specific tags can check in (e.g. childrens ministry).
  • Form Respondents: Only those who have responded to an associated form can check in.
  • No One: Disable check-in (Ideal for headcount only).

4.  Click "Add" to save your event.

 

Setting Eligibility for an Existing Event

1.  Select "Events" Choose the event Click "Edit Event Settings."

2.  Scroll down to the "Check-In" section of the settings page.     

3.  Click on the drop-down menu next to "Eligible People" and select your desired option.

4.  Click "Save Changes."


Filtering the Check-In List After it Loads

If eligibility is set to "Specific Tags," you can further refine the list after the Check-In page loads:

  1. Load the Check-In page for the event.
  2. Click the gear icon ($\text{\text{\ding{40}}}$) at the top by the event's name.
  3. Click the "Filter" button.
  4. Select the tags containing the people you'd like included on the list.

Troubleshooting & FAQs

  • How do "Form Respondents" become eligible? People who fill out an associated form become eligible once their form entry is connected to a profile in the People database.
  • Why would I choose "No One" eligibility? This option is ideal if you only want to keep track of a total headcount rather than specific names.
  • Why can't I filter the list by tag after the page loads? The option to filter the check-in list after it loads is only available when the event's eligibility is set to "Specific Tags." If it's set to "Everyone," you cannot use this live filter.
